Salary Receipt Form (Word) and Salary Certificate: What to Include

A salary receipt form is a short document in which an employee confirms receiving a specific payment from the employer, while a salary certificate, also called a salary definition letter, is a letter from the employer stating the employee’s job and pay, usually for a bank or a government service. Both are simple to prepare in Word, but they only carry weight if the details are accurate and match the employer’s records, especially the wage files sent through the wage protection system on Mudad, which are the main proof that salaries were actually paid.

The difference between the two documents

  • Salary receipt form: issued for a specific payment. The employee signs it to confirm receipt, and it protects the employer as evidence of payment.
  • Salary certificate: issued at the employee’s request. The employer signs it to confirm the employment and the pay, and the employee uses it with a third party.

A third document, the payslip, shows how the month’s pay was calculated. The payslip explains the amount, the receipt confirms it was received, and the certificate states the regular pay to an outside party.

Salary receipt form: what it must contain

A useful receipt identifies the parties, the period, the amount and how it was paid, and leaves no blank spaces that someone could fill in later. It should include:

  • The establishment’s name and commercial registration number.
  • The employee’s full name, ID or iqama number, employee number and job title.
  • The period the payment covers, as a month or a range of dates.
  • The basic salary, each allowance, any deductions with their reasons, and the net amount in figures and in words.
  • The payment method, whether bank transfer, cheque or cash, with the transfer reference or cheque number.
  • A statement by the employee confirming receipt.
  • The employee’s signature and the date, and the signature of the person who handed over or processed the payment.

Sample wording: salary receipt form

  1. Title: Salary Receipt.
  2. Establishment name and commercial registration number.
  3. Employee name, ID or iqama number and job title.
  4. Pay period.
  5. Breakdown: basic salary, housing allowance, transport allowance, other allowances, deductions, net amount.
  6. Net amount in words.
  7. Payment method and reference.
  8. Statement: “I, the undersigned, confirm that I have received the amount stated above as my pay for the period stated, and that I have reviewed its breakdown.”
  9. Employee signature and date.
  10. Name and signature of the payroll or finance officer.

Salary certificate: what it must contain

A salary certificate is usually printed on the establishment’s letterhead and includes:

  • The addressee: a named bank or entity, or “To whom it may concern”.
  • The employee’s full name, nationality, ID or iqama number and job title.
  • The joining date and the type of contract.
  • The monthly pay: basic salary, housing and transport allowances, other fixed allowances and the total.
  • The bank where the salary is paid, if the addressee asks for it.
  • A sentence stating that the certificate was issued at the employee’s request.
  • The issue date, the name and title of the signatory, the signature, and the company stamp if one is used.

Sample wording: salary certificate

  1. Establishment letterhead with its name, commercial registration number and address.
  2. Issue date and reference.
  3. Addressee.
  4. Opening: “This is to certify that Mr. or Ms. [name], [nationality], holder of ID or iqama number [number], has worked with us as [job title] since [joining date].”
  5. Pay table: basic salary, housing allowance, transport allowance, other allowances, total monthly pay.
  6. Closing: “This certificate was issued at the employee’s request without any liability on the establishment.”
  7. Name, title and signature of the authorized signatory, and the stamp.

Who issues and signs each document

The salary receipt is prepared by payroll or finance and signed by the employee, together with the finance officer’s signature. The salary certificate is issued by HR, or by whoever handles personnel matters in a small company, and signed by a person authorized to sign on behalf of the establishment, such as the HR manager, the general manager or the owner. Set out in an internal policy who may sign, so that certificates are not issued by anyone who happens to have the template.

When banks and government services ask for them

  • Banks: for personal finance, credit cards and home finance, and sometimes when opening or updating an account. Many banks also check salary data electronically, for example against GOSI records, so the wage registered there should match the certificate.
  • Government and semi-government services: some services ask for proof of employment or income as part of an application. The service page on the relevant platform states what it accepts.
  • Disputes and inspections: receipts and transfer records are used to prove payment if a wage claim is filed or during an inspection.

Wage protection and Mudad: the main proof of payment

Under the wage protection system applied by the Ministry of Human Resources and Social Development, private sector establishments submit their monthly wage files and pay salaries by bank transfer. Mudad is the platform many establishments use to prepare and upload these files.

That is why the bank transfer and the wage file are the main evidence that a salary was paid. A signed receipt is still useful when:

  • A payment is made outside the regular wage file, such as an advance, a bonus or a reimbursement of expenses.
  • Final dues are paid at the end of service.
  • The establishment wants a signed acknowledgment of the breakdown in addition to the transfer.

Keep the wage registered with GOSI, the contract on Qiwa, the Mudad file and any certificate you issue consistent with one another. Differences between them are a common reason for rejected bank applications and for questions during inspections.

Common mistakes

  • Leaving the amount, the period or the payment method blank on a receipt.
  • Adding broad waiver wording to a receipt; it should confirm a payment, not settle every right.
  • Stating a salary in a certificate that differs from the one in GOSI records or in the contract.
  • Letting any employee sign certificates without authority.
  • Relying on cash receipts instead of paying through the wage protection system.
  • Not keeping signed receipts and copies of certificates in the employee’s file.

Frequently asked questions

Is there an official salary receipt form in Word?

We are not aware of a single mandatory template. An establishment can use its own form in Word as long as it contains the fields above and matches its payroll records.

What is the difference between a salary certificate and a salary transfer letter?

A salary certificate states the job and the pay only. A salary transfer letter is a different document in which the employer commits to transfer the salary to a specific bank, and some banks ask for it when granting finance.

Can a salary certificate be issued electronically?

Many establishments issue certificates from their HR system with an electronic signature or a verification code. Ask the receiving bank or entity what it accepts before you issue one.

Does the employee have to sign a receipt if the salary is paid by bank transfer?

The transfer through the wage protection system is already the main record. A signed receipt is mostly needed for payments outside the wage file or as an extra acknowledgment.
